1. Who We Are

BreedTools ("we," "us," or "our") is a product of BreedTools LLC, a Florida limited liability company. We operate the website breedtools.app and related services (the "Service"). Our principal place of business is in the State of Florida, United States.

2. Information We Collect

We collect information you provide directly, information collected automatically, and information from third parties.

Information You Provide

  • Account information: Name, email address, and password when you create an account.
  • Profile information: Kennel name, location, breeds, contact details, and photos you add to your breeder profile.
  • Dog and litter data: Dog names, breeds, dates of birth, health records, weight entries, pedigree information, and related breeding records.
  • Buyer information: Names, emails, phone numbers, locations, and preferences of prospective puppy buyers that you or buyers submit through application forms.
  • Financial data: Expense and income records you enter for tracking purposes. We do not store credit card numbers — payment processing is handled entirely by Stripe.
  • Photos and media: Images you upload of dogs, puppies, and litters.

Information Collected from Third Parties (Buyers)

When prospective puppy buyers submit applications through your public breeder page or complete a temperament match quiz, we collect their information on behalf of the breeder, not for our own use. This includes:

  • Name, email address, phone number, and location.
  • Puppy preferences (sex, color, temperament answers).
  • Home assessment responses (living situation, yard, experience, other pets).

This data is stored in the breeder's account and shared only with that breeder. BreedTools does not use buyer data for marketing, advertising, or any purpose beyond facilitating the breeder-buyer relationship.

Information Collected Automatically

  • Usage data: Pages visited, features used, and actions taken within the Service.
  • Device information: Browser type, operating system, and device identifiers.
  • Log data: IP address, access times, and referring URLs.
  • Cookies: Authentication cookies to maintain your session. We do not use tracking or advertising cookies.

Information from Third Parties

  • Push notification tokens: If you opt in to push notifications, we store your browser's push subscription token to deliver alerts.
  • Google OAuth: If you sign in with Google, we receive your name and email address from Google. We do not access your Google contacts, calendar, or other data.
  • Stripe: We receive confirmation of payment status and subscription details from Stripe. We never receive or store your full credit card number.

3. How We Use Your Information

  • To provide, maintain, and improve the Service.
  • To process your subscription payments through Stripe.
  • To send transactional emails: health reminders, team invitations, welcome emails, and weekly digests. You can opt out of non-essential emails in Settings.
  • To send push notifications if you opt in (health reminders, heat cycle alerts, upcoming go-home dates).
  • To generate public breeder profile pages and public litter pages when you enable them.
  • To provide buyer application forms on your behalf.
  • To respond to support requests.
  • To detect and prevent fraud, abuse, and security incidents.

4. How We Share Your Information

We do not sell your personal information. We share data only in these circumstances:

  • Public pages: If you enable a public breeder profile or public litter page, the information you choose to display (kennel name, location, breeds, photos, puppy availability) is visible to anyone. We never display registration numbers or buyer names on public pages.
  • Team members: If you invite team members, they can access your kennel's dog, litter, and puppy data according to their assigned permissions.
  • Service providers: We use Supabase (database and authentication), Stripe (payments), Resend (email delivery), Vercel (hosting), and Google Cloud (OAuth). These providers process data on our behalf under their own privacy policies.
  • Legal requirements: We may disclose information if required by law, court order, or governmental regulation.

5. Data Storage and Security

Your data is stored in Supabase (hosted on AWS in the United States). We implement the following security measures:

  • Row Level Security (RLS) on all database tables ensuring users can only access their own data.
  • Encrypted connections (HTTPS/TLS) for all data in transit.
  • Encryption at rest for stored data via Supabase/AWS.
  • Authentication via Supabase Auth with secure, httpOnly session cookies.
  • Photos resized and converted to WebP client-side before upload to minimize stored data.
  • Admin access restricted by database-level flags and middleware checks.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law (e.g., financial records for tax purposes). Anonymized, aggregated data may be retained indefinitely for analytics.

7. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the data we hold about you. You can export your data anytime from Settings > Data Export.
  • Correction: Update inaccurate information through your account settings.
  • Deletion: Request deletion of your account and data by contacting us.
  • Portability: Export your data in CSV format from Settings > Data Export.
  • Opt out: Unsubscribe from non-essential emails via Settings > Notifications.

Florida residents: Under the Florida Digital Bill of Rights (effective July 1, 2024), you have the right to access, correct, delete, and obtain a copy of your personal data. To exercise these rights, contact us at support@breedtools.com.

California residents: Under the CCPA/CPRA, you have the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. We do not sell personal information.

8. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Cookies

We use only essential cookies required for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. No cookie consent banner is required because we only use strictly necessary cookies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
